How many bids went cold because nobody followed up?

Maybe none. But if you're answering subs from the truck, rescheduling inspections at lunch and chasing draws at night, an Executive Assistant AI agent might be worth a look. It drafts. You approve. Nothing goes out without you.

Start with a free 30-minute fit call. If it's a fit, next is a 2-hour time audit ($750, credited toward setup). If it isn't, I'll tell you.

A few honest questions

Before we talk about AI at all

If none of these land, you probably don't need this, and that's fine.

When a homeowner asks for a bid at 8 p.m., who answers?

And how often does the reply wait until the job that's already behind is handled?

How many draws or invoices are past due right now?

Do you know the number without opening QuickBooks? Who's following up on them?

How many emails does it take to move one inspection?

Inspectors, subs, deliveries. How much of that back-and-forth is you?

What did you mean to send a sub or supplier last week?

Is it still in your head? What does it cost if the crew shows up and the material doesn't?

Most contractors live with this for years. The question is what it's costing: bids that go to whoever answered first, draws that sit because nobody chased them, and evenings spent on email instead of estimates. Only you know if that's worth fixing.

What it handles

Chases the money without you having to remember

It checks your invoicing app for what's past due and drafts a polite, specific reminder with the invoice attached. It never touches your books or moves money.

  • Spots overdue draws and invoices, and by how long
  • Drafts the reminder with the right job name and number
  • Reminds you again if there's no answer

What it does

  • Sorts email from homeowners, GCs, subs, inspectors and suppliers
  • Drafts replies and bid follow-ups in your voice
  • Books walk-throughs and site visits from your real calendar, with drive time
  • Drafts reminders for past-due invoices and draws

What it won't do

  • Send anything in your name without your OK
  • Do your estimating or takeoffs
  • Touch your books, payroll or bank
  • Replace your project management software

These are just a starting point

Is there something else that eats your week? If a task is repetitive and lives in software you already use, there's a good chance an agent can take the first pass at it too. A few examples:

  • Following up on estimates and change orders waiting on a signature
  • Collecting COIs, lien waivers and permits from subs
  • Drafting material reorders to your usual suppliers
  • Giving homeowners a heads-up the day before a crew arrives

If something like that comes to mind, bring it up on the fit call and we'll talk through whether it's worth building. Same rules apply: normal sign-ins, no API keys, and nothing goes out without your OK.

Most single-owner setups land between $3,500 and $5,000. More people, more inboxes or unusual systems are quoted higher, and you'll see the number before you commit. Your AI subscription is paid directly to the provider. There's no monthly fee from Ai Agents On Staff.
Will it send emails to my customers without me?

No. It drafts replies, invites and reminders. You approve anything before it goes out in your name.

Does it work with QuickBooks?

It can read what's past due in your invoicing app, for example QuickBooks, using the normal sign-in. It reads and drafts. It doesn't change your books.

My office manager handles email. Do I need this?

Maybe not. If someone already has the office under control, you'd be paying to fix a problem you don't have. The free fit call will tell you.

Why do you charge for the audit?

Because it's real work: a 2-hour working session on your week, and you leave with a written plan and a fixed quote you can use with or without me. If you go ahead within 30 days, the $750 comes off the setup.

Still answering subs from the truck at night?

No pitch deck. Start with a free 30-minute call about your week. If an assistant would help, the next step is the 2-hour time audit ($750, credited toward setup within 30 days). If it wouldn't help, I'll say so.
